How to Share Payment Alerts with Your Accountant — Without Sharing OTP
Every shop owner faces this dilemma: your accountant needs daily transaction data for bookkeeping, GST filing, and reconciliation. But you cannot hand over your phone — it has your bank OTPs, personal messages, UPI apps, and everything else. Sharing your phone means sharing your financial life.
Some merchants solve this by sending WhatsApp screenshots of transactions every day. Others email bank statements once a week. A few even share their phone PIN with the accountant, which is a terrible idea for reasons we do not need to explain.

What Is Team Sync?
Team Sync is a feature in DigiSoundBox that lets you invite other people to receive your payment alerts on their own devices. You control what they see, and you can revoke access anytime. Think of it like giving your accountant a view-only window into your transactions, without handing them the keys to your bank account.
What gets shared: Payment amounts, timestamps, payment method (UPI/NEFT/IMPS), and sender name (if available).
What NEVER gets shared: Your OTPs, bank account number, UPI PIN, personal messages, phone notifications from other apps, or any non-payment data.
Step-by-Step: Setting Up Team Sync
Sign In to DigiSoundBox
Open the app and make sure you are signed in with your Google account. Team Sync requires sign-in because it needs a secure identity to link devices. If you have been using the app without signing in, go to Settings and tap Sign In.
Go to Sync & Team
From the main screen, tap the menu icon (three lines or gear icon, depending on your version) and select Sync & Team. This is where you manage all connected devices and team members.
Tap Invite Member
You will see an Invite button. Tap it. The app will ask you to choose a role for the new member. Select the appropriate role:
- Accountant — Can view transaction history, export CSV, but cannot modify settings or hear real-time voice alerts (gets silent data sync only)
- Staff / Counter — Gets real-time voice alerts on their device, can view recent transactions, but cannot export data or change settings
- Owner / Partner — Full access, same as the primary device
Share the Invite Code
After selecting the role, DigiSoundBox generates a 6-digit invite code that is valid for 15 minutes. Share this code with your accountant via WhatsApp, SMS, or just read it out on a phone call. The code is one-time use — once the accountant enters it, it expires.
Accountant Installs the App
Your accountant downloads DigiSoundBox from the Play Store, signs in with their own Google account, and selects Join a Team instead of setting up a new device. They enter the 6-digit code, and the link is established.
Done — Data Starts Syncing
Your accountant now sees your payment transactions on their device. Depending on the role you assigned, they can view the transaction list, filter by date, and export to CSV. All data syncs through DigiSoundBox's secure cloud — your accountant does not need access to your phone, bank app, or SMS.
What Your Accountant Sees
When your accountant opens DigiSoundBox on their phone, they see a clean transaction feed:
- Amount — The exact amount received (e.g., ₹2,450)
- Time — When the payment was received
- Source — Which app or bank sent the notification (Google Pay, PhonePe, SBI SMS, etc.)
- Sender — The customer's name or UPI ID (if included in the notification)
- Type — Credit or debit
What Your Accountant Does NOT See
Team Sync is designed with a clear privacy boundary. Your accountant cannot see:
- Your OTPs (bank OTP, UPI verification, etc.)
- Your bank account number or balance
- Your UPI PIN
- Personal notifications (WhatsApp, SMS from friends, etc.)
- Non-payment app notifications
- Your location or device information
The app filters payment data at the source. Only parsed, structured transaction data is shared — never raw SMS or notification text.
Exporting CSV for Tally and GST Filing
One of the most useful features for accountants is the CSV export. From the Team Sync view, your accountant can:
- Select a date range (today, this week, this month, or custom)
- Tap Export
- Get a CSV file with all transactions in that period
The CSV includes columns for date, time, amount, source, sender, and type. This can be directly imported into Tally, Zoho Books, or any spreadsheet for reconciliation. No more manually typing numbers from screenshots.

Managing Team Members
You stay in control at all times. From the Sync & Team screen, you can:
- View all connected members — See who is connected, their role, and when they last synced
- Change roles — Upgrade a staff member to partner, or downgrade if needed
- Remove a member — Instantly revoke access. The member's app will show "disconnected" and all synced data on their device is cleared
- Pause syncing — Temporarily stop sharing data without removing the member
Common Questions
Does my accountant need to keep the app open?
No. Data syncs in the background. Your accountant can open the app once a day (or once a week) and see all transactions from that period. The sync happens through secure cloud storage, so nothing is lost even if the accountant's phone was off.
Can my accountant modify or delete transactions?
No. The Accountant role is strictly view-only. They can read and export, but cannot modify, delete, or add anything. Only the Owner role has full control.
What if I change accountants?
Remove the old accountant from Team Sync (one tap), and invite the new one with a fresh code. The old accountant loses access immediately. No data remains on their device after removal.
Is this secure?
Data is synced through encrypted channels. The invite code is one-time use and expires in 15 minutes. Each team member is authenticated through their Google account. You can revoke access instantly. For more on our approach, see features and FAQ.
How many team members can I add?
The free plan supports up to 3 team members, which is enough for most small businesses (owner + 1 staff + 1 accountant). This covers the majority of use cases.
